Working with Corrective Action Items in Survey Management (SM)

Customers who subscribe to both Survey Management and Issue and Action Management can manage corrective actions that can stem from a survey within symplr Compliance.

Note

Users can only view corrective action items if they have purchased and deployed Issue and Action Management (IAM).

Corrective Action Template

Customers who subscribe to both Survey Management (SM) and Issue & Action Management (IAM) have the ability to manage corrective actions that stem from a survey. To associate an IAM template with SM, follow the instructions in Creating a Corrective Action Template for Survey Management Integration

Decisions and Corrective Actions

If a corrective action is needed and set, then the Attach link is enabled in the Corrective Actions column seen on the Submissions tab in Survey Management. The Attach link allows a user to attach corrective action items by creating a new IAM corrective action item from within SM, or to attach a corrective action item previously created in IAM (using the linked Corrective Action template). Once a corrective action is attached, the status will automatically change to In Progress, and the View and Detach links can be selected.

Customers who subscribe to both Survey Management and Issue and Action Management can set decisions and corrective actions from the Submissions tab in Survey Management.

Decisions

The following decisions can be set within the Submissions tab in Survey Management. The decisions cannot be customized for actions unique to individual customers.

  • No decision

  • No action required

  • Action required

Corrective actions

The following corrective actions can be set within the Submissions tab in Survey Management.

  • Attach

  • In progress

    • View

    • Detach

  • Resolved

    • View

    • Detach

Note

Customers without IAM cannot attach corrective actions using the integrations. Users must manually set corrective actions to In progress or resolved.

Working with decisions and corrective actions

  • When No decision is selected, N/A is assigned to the corrective action column by default.

  • When No action required is selected, N/A is assigned to the corrective action column by default.

  • When Action required is selected, the user must attach a corrective action using the provided link. When the user clicks Attach, the item opens in Issue and Action Management.

    Note

    When a new corrective action is created from the submissions tab and the organization unit is an existing field on the selected corrective action item, the organization unit field auto populates with the organization unit(s) associated with the respondent(s) from the survey.

  • Click Add Note to add an optional explanatory note to a decision or action in the Decision column.

    Note

    Notes can be added to survey questions when the survey is deployed or in review. Notes are read only when the survey is complete.

  • When a link is assigned in the corrective action column, users have the option to set the action to in progress or resolved. Users have the ability to view and detach in progress and resolved corrective actions. When the user clicks view or detach, the item opens in IAM.

Add a note to a decision or corrective action

  1. To create a new note for a decision, click Add Note or the existing Note link in the Decision column on the Submissions tab.

  2. Enter the note text in the Add note field and click Add note.

    • Notes are limited to 200 characters.

    • The maximum number of notes for any corrective action or decision is 100.

    • If a response is deleted, all notes associated with the response are also deleted.

  3. Click Close to return to the submissions tab.

Edit a note to a decision or corrective action

Once a note has been added to a decision, it can only be edited by the user who created the note.

  1. To edit an existing note, click the Note(s) link in the Decision column on the Submissions tab.

  2. Click the edit icon in the Action column for the note you want to edit.

  3. Edit the text in the Edit note field.

  4. Click Save note to save changes.

  5. Click Close to return to the Submissions tab.

Delete a note to a decision or corrective action

Once a note has been added to a decision, it can only be deleted by the user who created the note.

  1. To delete an existing note, click the Note(s) link in the Decision column on the Submissions tab.

  2. Click the delete icon in the Action column for the note you want to delete.

  3. Click Continue to delete the note.

  4. Click Close to return to the Submissions tab.

Using bulk actions

Users are able to apply decisions and corrective actions on the submissions tab from the Select action drop down at the top of the grid. Bulk actions can be set from the respondents or questions view.

To set the decision or to attach one corrective action to multiple questions, select the questions by checking the box to the left of each question. Then click Select action to apply the selected action.

The Submissions tab reflects the actions taken.
