Calendar

In Calendar, you can update your availability, browse and request open shifts, self-schedule, view your schedule, enter time, and view your paystubs.

This tile is only available if you're in worker status and if your organization has enabled this feature.

To open the calendar legend click the Info icon tab at the bottom right of the calendar. To close the calendar legend, click the Info icon tab again.

Availability

Updating your availability helps agencies match you with shifts when you're open to work.

Set availability for specific days

  1. Click on a day equal to or greater than today's date.

  2. Pick the available shift timeframes, such as 8 Hr Day, 12 Hr Night, etc.

    DNW indicates "do not work."

  3. Click Save.

    The availability icon (a green quarter circle) indicates days where you set availability.

Set availability for a range of days

  1. Click on a day equal to or greater than today's date.

  2. Pick the available shift timeframes, such as 8 Hr Day, 12 Hr Night, etc.

    DNW indicates "do not work."

  3. Click Range of Availability.

  4. Set a From Date and a To Date.

  5. Click Save.

    The availability icon (a green quarter circle) indicates days where you set availability.

Set permanent availability

Permanent availability represents shift days and times throughout the week when you're available to work per diem shifts on a recurring basis.

  1. Click on a day equal to or greater than today's date.

  2. Click Set Permanent Availability.

  3. Click the shifts to set for permanent availability in each day of the week.

  4. Click Apply.

    The permanent availability snapshot displays the settings. These settings won't display on the calendar but the staffing agency refers to the settings to find better shift matches for you.

  5. Click Save.

Open shifts

Open shifts are shifts that are available.

Filter open shifts

By default, the open shifts that display in the calendar are based on your shift preferences. You can view or update your shift preferences from Profile > Preferences > Shift Preferences.

To view open shifts outside of the standard shift preferences, use the filter icon at the top right of the calendar, select your filter criteria, then click Apply. The filters will remain applied until you log out of Workforce Portal. You can save the current filter as the shift preferences by clicking Save Preferences.

View open shifts for specific days

To view open shifts for a specific day, click on that day in the calendar.

  • Scroll through the list of shifts to see shift details.

  • For more information on the facility, click Location.

  • To search for a specific facility, type the facility name.

  • To narrow the distance, pick a radius in the Select Distance dropdown.

Self-scheduling and shift requests

You can self-schedule a shift when self-scheduling is enabled at the facility, all items in your employment file are in good standing, and there are no scheduling rules that would prevent self-scheduling.

If self-scheduling isn't available, you can request the shift.

Self-schedule a shift

  1. From an open shift, click Request Shift.

  2. Click Schedule.

    If you see a Send Request button instead of a Schedule button, self-scheduling is not available for this shift. You can request the shift by clicking Send Request.

Request a shift

  1. From an open shift, click Request Shift.

    Workforce Portal will check the status of all items in your employment file and the scheduling rules for the facility. Workforce Portal will display notes about any items that need to be updated.

  2. If an item needs to be updated, update the item then return to this screen.

  3. If nothing needs to be updated, click Send Request.

Cancel a shift request

  1. Click on a day with requested shifts in the calendar to view the details for the requested shift.

  2. In the Requested list, click the gray circle at the top right of the requested shift to select the shift.

  3. Click Cancel Request.

  4. To confirm the cancellation, click Yes.

Timesheets and paystubs

Enter time

Once Time Entry is enabled for the facility, you can enter time and/or signed timecards for your completed shifts.

  1. Open a completed shift.

  2. Click Enter Time.

  3. Follow the instructions to enter the time worked.

  4. Submit the time for review.

View paystubs for completed shifts

Once paystubs are enabled in Workforce Portal, you can view paystubs for completed shifts after they've been paid.

  1. Open the completed shift.

  2. Click View Paystub.

    A copy of the paystub will download.
