Assignments

The Assignments tab is where you can view, search, and request against all of the open assignments for clients where you are a subcontracted vendor and the assignments have been released for you to fill. You can also view past assignments that were Filled, Cancelled, or Voided to see a full history of assignments available for you to fill.

The Assignment Manager allows you to search and request assignments efficiently. The layout of the assignment manager can be customized as follows:

Customize Layout

• Click the Show/Hide Column button to select or remove columns. Changes are applied in real-time.

• Drag and drop column names to adjust their order.

• Click Save Default View to save the customized layout. You can modify the layout at any time.

• Click Apply Default View to revert any changes back to your saved default view.

Quick Filter

The Quick Filter is a type-ahead search that filters the Assignments Table as you type into the filter field. This is useful to find assignments for a particular facility, date, certification, etc.

Search For Assignments

The Show Search Form button (TIP: hitting Ctrl + Shift + F on this will open the search page) allows you to search and filter across all the assignments on criteria such as start/end dates, facility, shift, status, certification, and more. Searches that are used frequently can be saved for quick access.

Tip

TIP: After setting your desired filter, click the Off/On switch next to Auto-save/Load Last Search for the system to skip the filter page and go directly to the table view when viewing the page.

Search by Long-Term Order ID, overriding other fields.

Assignment Start Date

Filter by start date: Before, After, On, Between.

Filter by end date: Before, After, On, Between.

Orders for specific facilities.

Shift

Orders for specific shifts.

Assignment Status

Orders by status.

Assignment Type

Orders by type.

Certification

Orders by certification.

Specialty

Orders by specialty.

Temp

Orders for specific temps.

City

Orders for specific cities.

State

Orders for specific states.

Auto-Save/Load Last Search

Loads the most recent search upon opening the Long-Term Order Manager.

Reset Button

Resets all search fields to default values.

Search Button

Executes the current search.

Assignments Table

The Assignments table is where all of the results of the search and filters will be displayed. The table is interactive and the data will sort based on clicking on a column header. The table can display the following fields and actions:

Field

Description

Assignment #

The unique number is assigned to each assignment for reference.

Clicking on the assignment number opens the assignment detail card. Depending upon your access and system rules you can request to fill the assignment from the assignment card.

Facility

Name of the facility where the assignment is located.

Temp

Displays the name of the individual who has filled the assignment.

Clicking on the Temp Name will open a new tab and display the temp’s profile.

Clicking on the Calendar beneath the temp name will open a new tab and display the temp’s work history in a calendar view.

Type

This designates the assignment category (ex. travel, local contract, temp to hire, etc)

Status

The current status of the assignment will be displayed. It can be one of the following:

·         Open – the assignment has been requested but not filled.

·         Filled – the assignment has been requested, and a temp has been placed into the order to fulfil the request.

·         Voided – open order never filled that needs to be removed/is no longer needed

·         Canceled – an order that has been filled with a temp, but is no longer needed

Start Date

Beginning date of assignment.

End Date

Final date of assignment.

Duration

Number of days of assignment

Shift

Scheduled shift for the assignment.

Certification

The credentials required to fulfill the assignment (ex. RN, CNA, APRN, DO, MD, etc).

Checking the view all box displays all certifications.

Specialty

The discipline or specialization required of the provider for the assignment (ex. ER, ICU, Internal Medicine, Anesthesiology, etc). A temp can have multiple specialties, depending on the level and depth of experience.

Checking the view all box displays all specialties regardless of association with a specific certification.

State

The state where the assignment is located.

City

The city where the assignment is located.

Floor

Designates the floor on which the assignment will occur. This is an optional field and can be used to drive specific credential requirements that a floor may have (ex. ER, ICU, Step-Down, Med Surge, etc)

Created

Date and time the assignment was originally created in the system.

Modified

Date and time the last change was made to the assignment in the system.

NOTE: Table will display 50 results per page, use the Previous, Next, or number buttons to navigate between pages.

Requesting to Fill an Assignment

To request an assignment, navigate to the Assignments tab, click on the Assignment # that you wish to request. The Assignment card will appear. The Assignment Details tab will provide you with additional information around the specific assignment:

• Facility

• Job Date

• Shift

• Certification

• Specialty

• Type

• Floor

• Assignment Description

Clicking on the Requirements tab of the assignment card will display the credential and compliance requirements to fill the assignment. In the right-most column you can see the enforcement of the credential and compliance requirements.

• Warn – means that you can submit a temp missing or with out of compliance credentials but will receive a warning message about those items and need to address them prior to filling the assignment.

• Refuse – means that you cannot submit the temp until those missing or out of compliance credentials have been addressed in their temp profile.

After confirming the details, click the Request button at the bottom of the Assignment Details card. A new card will load with a Temp type ahead field. Simply type in the name* of the temp you wish to request for the assignment. Once 3+ characters have been entered the system will locate the profile of the temp, once the correct temp name appears click their name from the dropdown and click Request Assignment to submit the request. The card will refresh and notify you that the [temp name] has been requested successfully.

*IMPORTANT NOTE: In order for a temp name to appear in the request drop down list they MUST have a profile in the CTM Vendor Portal and their certification and specialty must match the assignment requirements.Review the Temps section for details on setting up a temp in the system.
