Designer Tab

Click Fields at top left of designer tab to display the list of applicable fields for item template type. 

Drag and drop fields into the template design area in any configurable order across four columns. Blank space between rows will be removed by the system when an instance of the Item is being created, but it will not remove the blank space between columns.

Note

Standard templates are associated to standard reports, as such you MUST NOT DELETE fields from a template as this will break the report. Instead, if a field is not required on an Item instance, hide the field and drag it to the bottom of the designer page.

Available field types

Assigned To – Gives user(s) or group(s) entered inherent permission to the item created using this template type.

Dynamic Fields – This field is designed to ONLY use the Category default (two level) list; this allows fields to be placed inside of the control dependent on the different values selected. Thus, enabling end user to see fields specific to the value selected. For example, for Billing user would see Account number field, not Disclosure type as she would if Disclosures value was selected.

Date & Time Field – A template may have more than one date field.

Four Level List – This field is designed to ONLY use the Four Level default list; this allows fields to be placed inside of the control dependent on the different values selected. Thus, enabling the end user to see fields specific to the value selected.

Note

The four-level list is only available with the Safety module.

Lookup List – Lists must first be created in Administration/Manage Lists, before being selected in a lookup list field. A template may have more than one lookup list control, and each may have the same list selected, provided each instance of the field has a different name.

Org Unit – Uses the Organization Units hierarchy. To add units to the org tree, refer to Administration/Organization Units.

Owner – Gives user(s) or group(s) entered inherent permission to the item created using this template type.  

People – List of people displayed in this control is generated based on Users with an Active Profile Status in Manage People. 

Aggregator – Often referred to as a Steps control, it may also be used as a Comments control. Data is displayed in a grid format with three columns, and each entry is added as a new row.

Text Area – If a text area contains no text, the area will minimize.

  • The Small Text area includes space for 5 lines before scrolling is enabled.

  • The Medium Text area includes space for 10 lines before scrolling is enabled.

  • The Large Text area includes space for 15 lines before scrolling is enabled.

  • The Extra-Large Text area includes space for 20 lines before scrolling is enabled.

Text Field – Allows for a single line of text.

Sub-items – Allows sub-items to be embedded into the IAM item. The end user may add sub-items through this control or the side tab of an item. Any sub-items for the template type select in this control will display in this field listed one below the other, sorted by newest Activity date (provided an activity date has been entered).

Header –May be used to add a header, sub-header or instructional text. Size and font type are hard coded into each option.

Risk Calculator – Pulls Severity/Exposure/Probability from the Division Settings/Risk Calculation lists and calculation methods.

Panel – Panels may be used to include only the fields that you want to show to specific users at different points in the work-flow process. A dynamic control may not be added to a panel control.

Field properties

After dragging a field into the template design area, click on the field itself to edit its’ properties.

Name – Provides the ability to configure field labels within a template. For example, Dynamic Fields is often relabeled Category/Sub-Category. All field types except Risk Calculator and Header have a customizable name area. To change the name of the default field, click Show/Hide Default Fields link and then the default named field and then click Properties and enter the new value.

Type – Type is available for fields that have more than one behavior associated with it. For example, Assigned To and Owner fields have Single Selection or Multiple Selection options under Type; and Date fields have Date, Time, and Date & Time options under Type.

Copy to sub-item - This will copy the data from certain fields on the primary item down to the same fields on the sub-item when creating the sub-item.

  • This option is only available on the Name, Description, Owner, Assigned To, Organization Profile, and Coming Due Date fields.

  • Changes are copied on Create sub-item only.

  • If the Date field on both templates does not have the same format, Copy to sub-item is disabled, e.g., if Primary item template has Date and sub-item template has Date & Time.

  • When Copy to sub-item check box is selected for a control that is placed within a panel, 4 level list, or Dynamic Fields control on the primary item template, then the values will be copied to the sub-item only when the control is placed in a similar category on the sub-item template.

  • When the Hidden property is selected on the field, the Copy to sub-item property is disabled.

  • When Copy to sub-item is checked for a field, but the field becomes hidden via a workflow rule, then the copy to sub-item will not be executed.

Size – For Assigned To, Owner, Date, Text, and Header fields there are four size options: small, medium, large and extra-large. Small takes up one column width, medium two columns, large three columns and extra-large spans the template page by using all four columns.

Contextual Help – Contextual help may be added to all fields. Check the box beside Contextual Help to add specific information necessary to provide the end user a clear understanding of how you want a field to be completed or situational help. On create, contextual help is indicated by this icon  appearing beside a field. In addition to adding text, you may add a link (http:// or https:// only) that the end user may click on for additional help outside of symplr.

Contingent Field? – Any field can be made contingent on another field. Click the field you wish to be the contingency and then click Contingent Field at the bottom of the properties box. Define the contingency by selecting the contingent on field, the condition value, and the action (defaults to show contingent control unless text field is the contingent control then the option to default a value appears).

The contingent control will be "Hidden" by default when tagged as a contingent control, and will only be displayed and actionable if the conditions defined are true.

While property options may vary depending on field type, the property option behavior will be the same across all field types. For example, selecting required option on a text field and on a lookup list will mean that both fields must be filled in before IAM Item may be saved upon create or edit. The three most common property options are:

Required - The Required attribute is available for all field types except the panel.  Only fields within the panel may be made required. To require the default description field, return to the Details tab, and check the box beside ‘Description is required’ under the Description text area.

Required property is NOT available on Item Templates and CLI Templates.

Requiredon save – The Required on save attribute is available for all field types except the panel.  Only fields within the panel may be made required on save. This property marks the field as required and will not allow the item to be saved until the user fills in the field.

Note

Required on save property is ONLY available on Item Templates and CLI Templates.

Required on close – The Required on close attribute is available for all field types except the panel.  Only fields within the panel may be made required on close.  Fields marked Required on close will only be validated when the user manually closes the item by selecting Close within the Stage dropdown on the item.  Fields marked Required on close will NOT be validated when the item is closed by a workflow rule.

Note

Required on close property is ONLY available on Item Templates and CLI Templates.

Hidden – Is used to hide a control you no longer want to appear at all on an item, or to hide a control that you want to create a workflow rule to show only under specific conditions.

Hide Title – The Hide Title attribute is available for all field types except the risk calculator and header. When selected the field title (label) is hidden.

Some fields also have the following options:

Read-Only – This option is available on Date and Aggregator (for step or comments type) fields only. All other fields may be made read only using a workflow rule.

Coming Due or Activity – These options are only available on the Date field. One or the other may be selected for a particular instance of the date field on a template. A template may have more than one date field and may have a coming due date and an activity date on each template.

Note

If the Activity property is selected here, the activity date will appear in the sub-item control and on the sub-item tab grid within an item. If Coming Due property is selected this date will appear on the unified dashboard for items on the Inbox or Owned by Me tabs.

Populate Coming Due Date - This option is available only on the aggregator field that is set to Steps. The number of dates entered auto-populates the Coming Due Date field on an item.

Default Value – You can add a default value to the Date field under the options list, and on the Owner and Assigned To fields below the Contextual Help checkbox. Default values may be set for text fields by creating a contingency rule and setting a selected value.

On the aggregator field properties there are three addition options that enable you to change the column names, to choose which column to sort by, and if the sort should be in ascending or descending order.

On the panel field properties there are three addition options. You can decide if you would like to provide the end user the ability to expand and collapse the panel, or if you would like to display the panel collapsed by default. You also can default entitlements to the panel by selecting specific users to give permissions to see/modify the information within the panel. 

Note

If you do not know which specific users need entitlements to a panel, create a workflow rule to provide entitlements to any item assignee or owner.
